In accordance with regulatory compliance for organizations such as those in the healthcare, pharmaceutical, and energy industries, Human Resources and Compliance staff are tasked with not only providing essential company information to all employees, but also determining if that information was read and understood. For Policies & Procedures certification, acknowledgement takes on greater importance as adherence to federal and state laws is often at stake. How can you know for sure that your employees actually read essential policies and procedures?
The ConvergePoint Certification Policy and Procedure Template takes the guesswork out of receiving employee acknowledgements with a fully-customizable certification quiz. The certification quiz can include questions on the policies of your choice to ensure that employees actually understood critical aspects of the policy or procedure document that they were being asked to acknowledge. Moreover, an employee must successfully complete the quiz in order to acknowledge it as read. Once acknowledged, notification is sent to management and recorded in a central database. Real-time reporting makes it easy to track the entire history of acknowledgements for all employees and documents. Additionally, sending out certification requests has never been easier. Alerts can target specific individuals or groups on a scheduled timeline according to your organization’s requirements.
Electronic requests and acknowledgements allow your organization to stay compliant with regulations that require privacy and written confirmation without dependence on stacks of paper. The ConvergePolicy Certification Policy and Procedure Template integrates completely with SharePoint and grows with your business, requiring only a modest investment to achieve absolute policy and procedure management. Regulatory compliance requires an all-hands-on-deck approach to ensure that all I’s are dotted, and all T’s are crossed, so why complicate matters by relying on an outdated approach to document management? Regardless of industry, an email-intensive approval process is a certain way to drop the ball in some aspect of document lifecycle management.
The ConvergePoint team helped a pharmaceutical company improve compliance by eliminating their reliance on Excel spreadsheets and e-mail to manage document approval. By leveraging SharePoint Workflows, the resulting improved document workflow allowed appropriate users to draft, review, and approve documents on a single platform. The use of notifications to alert users of changes to documents also meant greater version control. Plus, shared drives were no longer necessary for document storage. The benefits didn’t stop there. Check out this case study for more information on how ConvergePoint improved regulatory compliance for this organization.

A contract’s lifecycle begins with a request from within the organization. How well this request is handled depends primarily on the contract management process in place. The difference between manual contract management and automated contract management is considerable, and can greatly impact administrative costs, compliance, and risk. For each step in the contract management process, automated solutions prevent errors and help expedite lifecycle management.
Contracts are the crux of every business. They define both opportunities and obligations. Yet, very few organizations manage the contract lifecycle with either regularity or precision. Even fewer still have automated the process to properly allocate staff workload.
The ConvergePoint SharePoint Contract Management Software is a full-featured automated contract management system that allows complete visibility and control over any given contract from its inception to its renewal. To this end, the contracts administrator or legal team supervisor has the ability to quickly and easily assign contract creation to specific contract lawyers or contracts specialists within a corporate legal team. This creates an orderly process for each task, resulting in greater efficiency and increased productivity.

The integrity of an organization is determined – in part – by the accuracy of its documents. Unfortunately, more often than not, the document approval process requires multiple revisions that neither correctly captures nor easily tracks changes. This is true across industries, but for legal teams the timely authoring, review, and approval of contracts must align with the necessity for diligence and precision.
Without a streamlined document approval process, the contract workflow can easily overwhelm legal departments eventually leading to mistakes and delays. According to Law Technology News, “Contract management software promises to help attorneys gain the upper hand on contract creation, storage, organization, and related tasks by providing tools designed to streamline routine processes.” Author John Edwards also notes, “The myriad of benefits, such as return on investment, compliance, standardization of terms, contract life-cycle management, and system visibility, outweigh the perceived hurdles.”
The ConvergePoint SharePoint Contract Management System enables an organization to create, collaborate, review and approve contracts on a centralized, fully customizable SharePoint 2010 Legal platform. All files are stored in one place throughout the contract lifecycle, allowing awareness of on-going contract status. Changes to documents are tracked, making it easy to find the most recent version, and archived upon completion. Also, ad-hoc reporting helps to manage contract renewals and evaluate lifecycles.
Ultimately, the ability to share information across key areas of the organization can increase contract compliance, reduce cycle times, and help prevent unnecessary revenue loss—for the entire legal team and company. Contact our SharePoint experts today for a free consultation.
Most of us have at least one task in our daily lives that we could simplify if we streamlined the process. For many organizations, large and small, that one task – purchase order tracking –will not only cut costs, but also improve productivity.
Take, for example, the case study of a city government that for decades used paper-based workflows to manage approvals for expenditures and other initiatives. Reliance on manual processes resulted in a time-consuming and inefficient approval cycle, and excess spending on document storage space. By implementing the SharePoint Purchase Order System the administration reduced the time to complete approval processes from days to minutes, decreased paper consumption and printing costs, and projected savings of $14.3M over five years.
Sounds simple, right?
The Converge Point Purchase Order System built on the SharePoint platform can help you better manage the numerous transactions that make up your business every day by empowering you and your employees with electronic purchase orders and invoice approvals. Improve response and decision-making time while cultivating your important relationships with vendors, sellers, distributors, partners and customers.

ConvergePoint wants to learn from you and your day in, day out business experiences. Every Wednesday let’s open the lines of communication and welcome various industries with best practices on topics related to document sharing, policies & procedures as well as purchase order workflow. So, what do you say?
What are the key business operations challenges you face? What tools do you use to address those challenges and how satisfied are you with those tools? If you use SharePoint, what has your experience with it been like?
A couple of years ago, I bought a toolkit containing all kinds of tools. But let’s say that I need a socket wrench, and the toolkit I own does not include one. Naturally, I go to the hardware store to look for one. Money is tight, and I want the best deal. Then, I spot it: a shiny new socket wrench. What’s more, it comes as part of a toolkit that includes dozens of other tools. What a deal! Who needs a single socket wrench when I can have it plus all these other great gadgets? Who cares if it costs a little—or a lot—more than the socket wrench alone?
Of course, I didn’t need an entirely new toolkit. It doesn’t make sound financial sense to purchase an entirely new toolkit when I only need a single tool.
Likewise, it doesn’t make sense to purchase entirely separate platforms and systems for collaboration, policies and procedures management, compliance, or business process management (BPM) when you already have the basic tools that make those systems work. If your organization, like most organizations, has SharePoint, it already owns the building blocks of all those other systems. By purchasing products that do not tie into SharePoint, you are squandering the investment you have already made. You could, instead, purchase fully-customizable add-ons that enhance the SharePoint capabilities you already have.
ConvergePoint specializes in SharePoint add-ons that accomplish everything those off-the-shelf packages do, with the added benefits of simplicity and integration with your existing SharePoint system and resources. SharePoint ties in seamlessly with your global address book, all Microsoft Office applications, and Active Directory. No extra work required. The add-ons scale with your organizational needs and are fully customizable. You spend minimal dollars, maximize your previous investment, and get going sooner.
Don’t fill your garage with redundant toolkits. Optimize what you have with targeted add-on products that provide exactly what you need.
I’m sure your mind is constantly flooded with questions like these: How do I get the most out of my investment in SharePoint? Where should I build out or streamline my company’s SharePoint system? How do the most successful organizations use SharePoint? What do they do to make it work for them? What’s next on the SharePoint horizon? What questions should I be asking? Who will answer them?
Okay, so maybe those aren’t your most pressing questions, but we SharePoint nuts at Converge Point think about them all the time. And even if you don’t regularly ask these questions, you would probably like to hear the answers.
Consider your questions answered! This Saturday, April 28, 2012, is SharePoint Saturday Houston. In one day, learn more than you ever thought you’d get to know about SharePoint from experts, developers, and users. The event is absolutely FREE, but you need to register to save your seat.
It’s impossible to fully leverage SharePoint without learning from the experience of other companies and experts.
